Realistic Lead Times by Event Type
For NYC event staff: 8–12 weeks ahead for peak-season weddings (May–October), 4–6 weeks for off-season weddings, 2–3 weeks for corporate events, book by mid-October for December holiday parties, 6–8 weeks for galas and fundraisers, and 1–2 weeks for nightlife. December weekends and Hamptons summer dates are the tightest windows of the year.
The Tightest Windows of the Year
Three calendar windows consistently squeeze NYC event staffing harder than the rest: December weekends (corporate holiday parties stack on top of the usual wedding load), Memorial Day through Labor Day weekends in the Hamptons, and mid-September through mid-October (the densest stretch of fall weddings). For these windows specifically, we recommend the upper end of the lead-time ranges above.
What Last-Minute Actually Means
Same-day and next-day requests are routine in Manhattan and North Brooklyn. Specialty roles — mixologists, executive chefs, security supervisors — are the hardest to source on short notice. For Long Island and Hamptons events, the practical floor is closer to 5–7 days during peak season.
For same-day Manhattan bookings, we can deploy a captain and 2–4 servers within 4 hours during business hours and within 6 hours overnight. The trade-off: late bookings get whoever is available, not the captain best matched to the venue.
Why Earlier Is Better
Our hourly rates are flat — we don't run early-booking pricing. The benefit of booking earlier is access to the most experienced wedding captains, venue-fit leads who already know your venue, and preferred bar and kitchen captains. For a 200-guest wedding at a Manhattan loft, booking three months out lets us route a captain who has worked that exact venue before.
Lead-Time by Role
Lead times vary by role. Bartenders: 2–4 weeks ideal, 1 week works for most NYC dates. Servers: 2–4 weeks ideal, same-day possible for routine dinners. Captains: 4–6 weeks for the strongest captain match. Coordinators: 8–10 weeks during peak season, 4 weeks off-season. Licensed security: 2–3 weeks, longer for armed or supervisor-grade. Kitchen staff: 4–6 weeks for plated multi-course, 1–2 weeks for canapés.
The Booking Process

A card authorization hold secures the staff with no charge until staff are confirmed. Final payment is captured 24 hours before the event. Dates are held with a credit card authorization rather than a cash deposit — the card is verified but not charged until 24 hours before the event.

January through early March is off-season with the deepest captain availability. Mid-March through April is pre-wedding-season ramp — easy to book. May through June is the peak wedding window (book 8+ weeks ahead). July and August is Hamptons-heavy season. September through mid-October is the densest fall wedding stretch.
